This month, you\u2019ll read about our latest improvements for Knowledge Management and Asset Management \u2014 and how you can prepare for the next step in the One TOPdesk User project.<\/p>\n<h2>Knowledge Management: open up your Knowledge base<\/h2>\n<p>In April, we made it even easier to find the right information and get any question answered easily. Not only for you and your operators, but even for unregistered users such as students or citizens.<\/p>\n<h3>Publish knowledge items publicly \u2013 and reach a bigger audience<\/h3>\n<p><div style=\"padding:56.25% 0 0 0;position:relative;margin-bottom:90px;\">\n                    <iframe src=\"https:\/\/player.vimeo.com\/video\/1075576857?autoplay=1&amp;autopause=1&amp;byline=0&amp;loop=1&amp;muted=1&amp;portrait=0&amp;speed=1&amp;title=0?badge=0&amp;autopause=0&amp;player_id=0&amp;app_id=58479\" frameborder=\"0\" allow=\"autoplay; fullscreen; picture-in-picture; clipboard-write\" style=\"position:absolute;top:0;left:0;width:100%;height:100%;\" title=\"TOPdesk Video\"><\/iframe>\n                <\/div>\n                <script src=\"https:\/\/player.vimeo.com\/api\/player.js\"><\/script><br \/>\nWhen you support people who do not need to log in to the Self-Service Portal (SSP) \u2013 think of students or citizens \u2013 it still might be useful to share the information in your Knowledge Base with them.<\/p>\n<p>That\u2019s why a few years ago we released \u2018Public Knowledge Items\u2019 in <a href=\"https:\/\/docs.topdesk.mom\/en\/topdesk-labs.html\" rel=\"noopener\">TOPdesk Labs for SaaS<\/a>. By indicating which items should be available for anyone without a login, you can share certain information easily publicly. And now, we release Public Knowledge Items as a standard feature in TOPdesk! This means that Public Knowledge Items will not only be available for SaaS customers, but also in the upcoming release for TOPdesk On-Premises (Virtual Appliance). Besides, it\u2019s now compatible with the new Knowledge Management, available via the Knowledge Management module page.<\/p>\n<p>To enable public knowledge items in your environment, go to <strong>Module Settings<\/strong> &gt; <strong>Knowledge Management<\/strong> &gt; <strong>General<\/strong> &gt; <strong>Functionality<\/strong> &gt; <strong>Enable the Public Knowledge Base<\/strong>.<\/p>\n<h3>Start using the new URL for public items<\/h3>\n<p>If you already made use of this feature while it was in TOPdesk Labs, you shared URLs for Public Knowledge Items that contain \u2018\/solutions\/<strong>open-knowledge-items<\/strong>\/item\/\u2026\u2019. In this new version, this part of the URL changed to \u2018\/solutions\/<strong>public-knowledge-base<\/strong>\/item\/\u2026\u2019.<\/p>\n<p><a href=\"https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-url-2.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-42318 size-full\" src=\"https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-url-2.png\" alt=\"Location of Public Knowledge Item url on Knowledge Item card\" width=\"1522\" height=\"404\" srcset=\"https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-url-2.png 1522w, https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-url-2-300x80.png 300w, https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-url-2-1024x272.png 1024w, https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-url-2-768x204.png 768w, https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-url-2-100x27.png 100w, https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-url-2-400x106.png 400w\" sizes=\"auto, (max-width: 1522px) 100vw, 1522px\" \/><\/a><br \/>\nAlthough the old format will still work for a little while, we advise you to start sharing URLs in the new format as soon as possible. You can copy the new URLs by opening the knowledge item in Explorer mode. Then, go to the <strong>Availability<\/strong> tab. Under URL, you\u2019ll find the <strong>Public access<\/strong> field that contains the correct URL.<\/p>\n<h3>Updated top bar for better search experience<\/h3>\n<p><a href=\"https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-top-banner-1.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-42327\" src=\"https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-top-banner-1.png\" alt=\"New top banner for knowledge item card\" width=\"1502\" height=\"582\" srcset=\"https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-top-banner-1.png 1502w, https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-top-banner-1-300x116.png 300w, https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-top-banner-1-1024x397.png 1024w, https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-top-banner-1-768x298.png 768w, https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-top-banner-1-100x39.png 100w, https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/KM-top-banner-1-400x155.png 400w\" sizes=\"auto, (max-width: 1502px) 100vw, 1502px\" \/><\/a><br \/>\nWe also updated the top part of the new Knowledge Item card. Apart from a change in the design \u2013 which makes it look more coherent with the rest of the interface \u2013 you\u2019ll notice two important updates:<\/p>\n<ul>\n<li><strong>A new clickable breadcrumb trail<\/strong>, located right above the title of the knowledge item, to easily find your location in the knowledge tree.<\/li>\n<li>We <strong>removed the \u2018Search items directly under this one\u2019 option<\/strong>. The search bar now always only searches through underlying knowledge items. We advise you to take this into account while (re)structuring your knowledge base.<\/li>\n<\/ul>\n<p>Looking for ways to get the most out of Knowledge Management? Check out <a href=\"https:\/\/www.topdesk.mom\/en\/blog\/knowledge-management-best-practices\/\">our blog about Knowledge Management best practices for your IT service desk<\/a>.<\/p>\n<h2>Asset Management: personalise your overview<\/h2>\n<h3>Pick and rearrange columns in the asset overview<\/h3>\n<p>Finding the right order of columns can drastically improve the readability of your overviews. But not everyone wants the same columns to be side-by-side. To help you see the right information in the asset overview quicker, we added new column arrangement options to the asset overview.<br \/>\n<a href=\"https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/AM-columns.gif\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-42345\" src=\"https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/AM-columns.gif\" alt=\"Opening the new Asset Management filters panel and going to the Columns tab\" width=\"432\" height=\"720\" \/><\/a><br \/>\nPreviously, you chose the columns to show up in the overview via the Columns feature in the top-right corner. But determining the order of columns was not intuitive. In the new (beta) version of the asset overview setup, you\u2019ll find a new <strong>Columns<\/strong> tab. It consists of two sections. Under <strong>All columns<\/strong>, you pick the information about your assets you want to see. Then, under <strong>Visible columns<\/strong>, you order them exactly how you wish.<\/p>\n<h3>Find assets via their summary on the Self-Service Portal<\/h3>\n<p>Assets in an organization often get a unique name provided, but that\u2019s not always a very informative name for everyone. It helps your team to find the right asset for their task, but it makes it harder for the end-user to fill in the right asset for their request.<\/p>\n<p>We just added the right solution for this problem. In forms (via the search bar which is opened with the magnifying glass) and the My Objects overview on the Self-Service Portal, your users will now also search through the <a href=\"https:\/\/docs.topdesk.mom\/en\/customizing-the-summary.html\" rel=\"noopener\">asset summary<\/a>. Before, this was only the asset\u2019s ID. So, if your asset summaries contain the important asset details, your end-users will find the right asset without much effort. No more searching for LAP1287!<\/p>\n<h2>One TOPdesk User: start linking your operators to persons<\/h2>\n<img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-42681 size-full\" src=\"https:\/\/www.topdesk.mom\/en\/wp-content\/media\/sites\/30\/onetopdeskuser.gif\" alt=\"\" width=\"600\" height=\"250\" \/>\n<p>With the <a href=\"https:\/\/docs.topdesk.mom\/en\/the-road-to-one-topdesk-user.html\" rel=\"noopener\">One TOPdesk User project<\/a>, we\u2019re working towards unifying the Operator and Person cards to make managing TOPdesk even easier for you. The next step towards this goal: changing how you create new operators in TOPdesk.<\/p>\n<p>In November 2025, it will become mandatory to link new Operator cards to a Person card. We advise you to already start preparing for this change. If you create operators via an import or API integration, we just made an important change that will help you prepare for this:<\/p>\n<ul>\n<li>If you create operators with an import, you can now <a href=\"https:\/\/docs.topdesk.mom\/en\/step-2--operator-import-with-a-linked-person.html\" rel=\"noopener\">map the linked person in your operator import<\/a>.<\/li>\n<li>If you create operators via the API, you can now <a href=\"https:\/\/docs.topdesk.mom\/en\/step-2--api-changes.html\" rel=\"noopener\">provide the linked person in the request body of the \/operators endpoint<\/a>.<\/li>\n<\/ul>\n<p>If you manually create Operator cards, you can already link these to a Person card via the Operator card. However, we\u2019re working on <a href=\"https:\/\/docs.topdesk.mom\/en\/overview-of-phases.html\" rel=\"noopener\">a time-saving bulk linking tool that\u2019s set to be released in Q3<\/a>.<\/p>\n<p>For more information about the One TOPdesk User project, see <a href=\"https:\/\/docs.topdesk.mom\/en\/the-road-to-one-topdesk-user.html\" rel=\"noopener\">our dedicated One TOPdesk User project page in the documentation portal<\/a>.<\/p>\n<h3>Ending support for customized imports<\/h3>\n<p>Towards the end of this year, we will start phasing out <a href=\"https:\/\/docs.topdesk.mom\/en\/customized-imports.html\" rel=\"noopener\">customized imports<\/a>. The Supporting Files import is the more future-proof import feature for creating and updating Operator and Person cards.<\/p>\n<p>If you have questions or need support with creating a new Supporting Files import to replace your customized import, use <a href=\"https:\/\/my.topdesk.mom\/tas\/public\/ssp\/content\/serviceflow?unid=c5dd6387173a4e67bb5932021a9c5577&amp;from=3a4d353a-4433-46d9-bdc1-1235b5e78ef3\" rel=\"noopener\">this contact form on My TOPdesk<\/a> (for main contacts).<\/p>\n<p>For more information about the One TOPdesk User project, see <a href=\"https:\/\/docs.topdesk.mom\/en\/the-road-to-one-topdesk-user.html\" rel=\"noopener\">our dedicated One TOPdesk User project page in the documentation portal<\/a>.<\/p>\n<h2>Other updates<\/h2>\n<h3>Role-based access control for Supporting Files imports<\/h3>\n<p>In <a href=\"https:\/\/www.topdesk.mom\/en\/blog\/whats-new-march-2025\/#email-and-imports\">last month\u2019s update<\/a>, we told you about role-based access control (RBAC), and how we support it for importing and sending mails. You can now integrate the Supporting Files import when using RBAC as well, so you can effortlessly and securely connect TOPdesk with Entra ID.<\/p>\n<h3>New OData entities<\/h3>\n<p>Another month, another list of new OData entities.
